Privacy Policy

Last updated: 16 October 2026

This Privacy Policy explains how Hospitality Pro Press collects and uses personal data when you visit hospitalitypropress.com, download a free resource, subscribe to our emails or contact us.

Who we are

Hospitality Pro Press is an independent publisher of records, manuals and training resources for the hospitality industry, based in Killarney, Co. Kerry, Ireland. We are the controller of the personal data described in this policy.

For any privacy question or request, email hello@hospitalitypropress.com.

What we collect and why

Free resources and email updates. When you request a free resource (for example, the Restaurant Health Inspection Readiness Checklist), we collect your email address. We use double opt-in: you are only added to our list after you click the confirmation link we send you. We then send you the resource and occasional practical tips and news about our publications. Legal basis: your consent (Article 6(1)(a) GDPR). You can withdraw consent at any time using the unsubscribe link in every email.

Contact and business enquiries. When you use our contact or business quote forms, we collect the details you enter (such as name, email, company, business type and your message) to answer your enquiry and, where relevant, prepare a quote. Legal basis: our legitimate interest in responding to you, or steps taken at your request before entering into a contract (Article 6(1)(b) and (f) GDPR).

Technical data. Like any website, our hosting server processes technical information such as your IP address, browser type and the pages requested, to deliver the site securely and prevent abuse. Legal basis: our legitimate interest in operating a secure website (Article 6(1)(f) GDPR).

We do not sell your personal data and we do not use it for automated decision-making.

Purchases on Amazon

Our books are sold on Amazon. When you click a “Buy on Amazon” button you leave our website, and any purchase is handled by Amazon under its own terms and privacy notice. We do not receive your payment or delivery details.

Who processes your data for us

  • Brevo (Sendinblue SAS, France): email sign-up forms, list management and email delivery.
  • Hostinger: website hosting and our business email.
  • WordPress plugins on our own server: Fluent Forms stores contact form submissions in our website database.

These providers act on our instructions under data processing agreements. Where a provider transfers data outside the European Economic Area, it relies on appropriate safeguards such as the European Commission’s Standard Contractual Clauses.

Cookies

We only use cookies that are necessary for the website to work, including a cookie that remembers your cookie choices. We do not currently use analytics or advertising cookies. If this changes, we will ask for your consent first. See our Cookie Policy for details.

How long we keep your data

  • Email subscribers: until you unsubscribe, after which we keep only what is needed to respect your choice.
  • Contact and quote enquiries: up to 24 months after our last exchange, unless a business relationship requires longer.
  • Server logs: for a short period set by our hosting provider, normally no more than a few weeks.

Your rights

Under the GDPR you have the right to access your personal data, to have it corrected or erased, to restrict or object to its processing, to data portability, and to withdraw consent at any time. To exercise any of these rights, email hello@hospitalitypropress.com. We will reply within one month.

You also have the right to lodge a complaint with the Irish Data Protection Commission (dataprotection.ie) or with the supervisory authority where you live.

Children

Our website and publications are intended for hospitality professionals. We do not knowingly collect personal data from children under 16.
